Privacy Policy
Last updated: 13 September 2026
STRIDE IT Limited ("STRIDE IT", "we", "us", "our") is committed to protecting your privacy. This policy explains what personal information we collect, why we collect it, how we use it, and what rights you have over it, in line with the UK GDPR and the Data Protection Act 2018.
1. Who we are
STRIDE IT Limited is a company registered in England and Wales (company number 16794832), with a registered office at Office 15278, 182–184 High Street North, East Ham, London, E6 2JA, United Kingdom.
We are the data controller for the personal information described in this policy. If you have any questions about this policy or how we handle your data, contact us at info@strideit.net or on 0333 323 1745.
2. What information we collect
We collect personal information in the following ways:
- Information you give us directly — when you contact us by phone, email, or through a form on this website, we may collect your name, company or hotel name, job title, email address, phone number, and the content of your enquiry.
- Information we collect when we provide services — if you become a client, we collect information necessary to deliver and manage your IT support agreement, such as site contacts, technical environment details, and billing information.
- Information collected automatically — like most websites, we use basic analytics and essential cookies to understand how our site is used and to keep it working correctly. See Section 7 below.
3. How we use your information
We use personal information to:
- Respond to enquiries and provide quotes or proposals
- Deliver and manage IT support and managed services under a signed agreement
- Maintain accounts, invoicing, and business records
- Comply with legal and regulatory obligations, including tax and accounting requirements
- Improve this website and our services
We do not use your personal information for automated decision-making, and we do not sell your personal information to third parties.
4. Our lawful basis for processing
Under UK GDPR, we rely on the following lawful bases:
- Contract — to provide the IT support and managed services you've engaged us for
- Legitimate interests — to respond to enquiries, operate and improve our services, and maintain the security of our systems
- Legal obligation — to meet our accounting, tax, and other regulatory requirements
- Consent — where we ask for it specifically, such as for marketing communications you can opt out of at any time
5. Sharing your information
We do not sell your personal data. We may share it with:
- IT and software service providers who help us deliver our own services (for example, hosting, email, and accounting platforms)
- Third-party specialists we coordinate with on your behalf under a service agreement — for example, your PMS/POS vendor, payment provider, or brand IT team — but only where necessary and only with your knowledge
- Professional advisers such as our accountant or solicitor, where required
- Law enforcement or regulators, where we are legally required to disclose information
Any third party processing personal data on our behalf is required to protect it in line with UK data protection law.
6. How long we keep your information
We keep personal information only for as long as necessary for the purposes it was collected — typically for the duration of a client relationship plus a period afterwards to meet our legal and accounting obligations (normally up to 6 years for financial records, in line with HMRC and Companies Act requirements). Enquiry details from people who do not become clients are kept for a reasonable period and then deleted. Retention for specific services — including managed backup — is set out in the relevant service agreement.
7. Cookies
This website uses a small number of essential and analytics cookies to help it function correctly and to understand how visitors use the site. These do not identify you personally. You can control or disable cookies through your browser settings at any time.
8. Keeping your information secure
We take appropriate technical and organisational measures to protect personal information against unauthorised access, loss, or disclosure, including access controls and secure storage of business systems. No method of transmission or storage is completely secure, but we work to protect your information to an appropriate standard.
9. Your rights
Under UK GDPR, you have the right to:
- Access the personal information we hold about you
- Ask us to correct inaccurate information
- Ask us to delete your information, where applicable
- Restrict or object to how we use your information
- Request your information in a portable format
- Withdraw consent at any time, where we rely on consent
To exercise any of these rights, contact us at info@strideit.net. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk if you believe your data has not been handled correctly — though we'd appreciate the chance to resolve any concern directly first.
10. Changes to this policy
We may update this policy from time to time to reflect changes in our practices or for legal reasons. Any changes will be posted on this page with an updated "last updated" date.
